Administrative Assistant – Grocery Store Operations

About the role

Talabat is seeking an organized Administrative Assistant to support the rapid growth of its grocery store concept, tMart. You will work closely with marketing, operations and external suppliers to ensure smooth daily processes and accurate data management.

Key responsibilities

• Maintain and organize marketing files, documents and databases.
• Collaborate with designers and the marketing team to review and manage communications, ensuring alignment with brand guidelines.
• Track campaign timelines, deadlines and deliverables.
• Liaise with internal departments and external suppliers to facilitate project execution.
• Process invoices, quotations and debit notes related to marketing activities.
• Compile and analyse data to support marketing strategies and generate regular performance reports.
• Raise purchase orders, update internal databases with order details and track deliveries.
• Generate and distribute various admin reports (e.g., active items, weekly cost updates, sales reports).
• Maintain product information in the Talabat app, including images, barcodes, cost price and descriptions.
• Maintain the country’s assortment file, print and stamp documents, and perform ad‑hoc tasks as required.

Required profile

• Minimum 3 years of experience in data recording and administrative functions.
• Highly detail‑oriented, structured and able to prioritize tasks effectively.
• Comfortable interacting with senior‑level executives and managing multiple stakeholder expectations.
• Proactive learner who thrives in a fast‑changing environment.
• Strong analytical and communication abilities.
