Maintenance Administrator

About the role

Working closely with the Country Maintenance supervisor, the Maintenance Administrator manages reactive and preventive maintenance administrative tasks, including AMC (internal and external) management.

Key responsibilities

• Review, obtain and archive project documents according to checklists, coordinate site inspections and handovers, maintain asset registers, snag lists and warranties, and upload data into the Service Max maintenance system.
• Coordinate off‑premises projects with suppliers, operations and field teams; prepare brand‑wise equipment delivery reports; schedule and conduct meetings; track asset replacements with local agents; and produce progress and completion reports for management.
• Maintain various trackers such as AMC implementation summary, CAPEX, and refurbish trackers, ensuring they are regularly updated.
• Monitor kitchen equipment warranties, analyze root causes of breakdowns, highlight operational misuse, and ensure corrective actions; evaluate warranty service provider performance and report concerns to procurement stakeholders.
• Schedule weekly and monthly meetings with internal teams, AMC vendors and operations; prepare analytical reports and presentations on maintenance activities and spending.
