Administrative Assistant – UDS Coordinator

About the role
We are looking for an Administrative Assistant to serve as the UDS Coordinator for MedSSI, supporting medical support services at U.S. embassies in the Middle East. The role acts as the primary point of contact for donors and clients, handling scheduling, prescription processing, and specimen result management while providing general office support.
Key responsibilities
- Serve as client point of contact regarding UDS concerns.
- Manage UDS schedule updates, additions, and cancellations.
- Respond to donors and process prescriptions.
- File scanned Rapid/COC forms and upload donor data for specimen results.
- Act as MRO point of contact between donors and submit prescription forms to MRO.
- Notify clients on DER and assist with non‑negative medical review.
- Deliver specimen results and prepare end‑of‑month collection reports.
- Perform routine logistical support tasks such as receiving material and routing it to responsible parties.
- Coordinate and implement office services, interpret and communicate operating policies.
- Analyze health unit operating practices and improve record‑keeping systems.
- Compile information and create reports, graphs, and tables in Excel.
- Identify safety concerns and report to supervisory personnel.
- Answer correspondence, manage calls, schedule appointments, and organize patient files.
- Update and maintain patient charts and monitor radio/internet communications.
- Assist with day‑to‑day activity management and prioritize tasks.
- Participate in meetings and task‑force groups to improve quality and outcomes.
- Comply with all applicable standards and guidelines.
- Use personal computer for email, calendars, and basic office software.
- Prepare administrative correspondence and reports as required.
- Other duties as assigned.
Required profile
- Minimum three years of administrative experience, preferably in a medical environment.
- Experience with record‑keeping systems and office procedures.
- Ability to work independently and prioritize tasks.
- Strong attention to detail and safety awareness.
