Senior Admin Project Associate – Protection

About the role

The International Organization for Migration (IOM) is seeking a Senior Admin Project Associate to support its Protection programmes. Reporting to the Protection Coordinator and under the guidance of the Head of Mobility Pathways and Inclusion, the incumbent will provide essential administrative and financial management assistance across multiple projects.

Key responsibilities

• Serve as the primary point of contact for organising conferences, trainings, workshops and events, coordinating with logistics and finance teams.
• Coordinate and monitor IOM and third‑party contracts, ensuring timely payment of consultants in collaboration with HR and Stars Orbit colleagues.
• Support the Head of MPI in tracking financial aspects of projects, including expenditure, fund availability and cash‑flow management.
• Maintain project files and documents in both physical and online filing systems while adhering to data‑protection principles.
• Work with the Supply Chain Unit to assess the impact of price changes on procurement, budgets and delivery timelines.
• Ensure lease agreements are valid and coordinated with Procurement and Logistics for field activities.
• Assist MPI Project Officers in forecasting cash flows based on project activities.

Required profile

• Proven experience in administrative and financial support for international development or migration‑related programmes.
• Strong organisational skills for event planning and document management.
• Experience coordinating contracts and payments with external consultants.
• Ability to collaborate with supply‑chain, procurement and logistics teams.
• Familiarity with data‑protection standards and filing systems.
