Supply Chain Associate – Facilities Maintenance & Admin

About the role

The Supply Chain Associate – Facilities Maintenance & Admin supports the Erbil Sub Office by managing all facilities maintenance, office stationery, consumables, and related administrative tasks. Working under the guidance of senior supply chain staff, the role ensures that maintenance services are delivered on time, contracts are up‑to‑date, and office supplies are efficiently managed.

Key responsibilities

• Respond to maintenance requests, coordinate generator, lift, and security X‑ray machine servicing, and submit payments to Finance.
• Maintain accurate records of all facilities maintenance transactions and ensure approvals follow the authorization matrix.
• Replenish office stationery, track movements, and prepare monthly inventory reports.
• Manage SIM‑card procurement, distribution, airtime credit, and automatic top‑up processes for staff phones.
• Monitor service providers for cleaning, garbage removal, and equipment maintenance, ensuring office cleanliness and availability of kitchen and toiletry supplies.
• Prepare monthly progress reports on facilities maintenance and stationery activities.
• Support senior supply chain staff in contract management and coordination with Procurement and Finance.
• Perform other duties as assigned.

Required profile

• University degree in a relevant field with at least three years of professional experience (or a bachelor’s degree with five years of experience).
• Professional certification such as CIPS or CILT is an advantage.
• Experience in facilities management, inventory/stock control, and working with international NGOs or similar organizations.
